Our client is a private bank and wealth management company seeking to recruit a Part time Administrative Assistant. This role is open for candidates looking for slightly reduced/flexible hours. Ideally, who would be looking at a minimum of 27.5/30 hours per week, there is a possibility for someone wanting to work for example 8 am – 3 pm. This would be on the agreement that during busy times the successful candidate would be flexible and stay longer as required (in exchange for time off in lieu). Role purpose: To provide a high quality, efficient administrative and secretarial support to their Senior Executive Committee members along with support to various Bank departments where required. Also, provide cover for colleagues when necessary. Key responsibilities will include: • Provide administrative support to their Senior Management team as necessary, to include diary management and preparation for meetings. • Organise visitor schedules (both external and staff members from their other offices). This will include booking flights and accommodation and organising their schedule of meetings if applicable whilst in the Guernsey office. • Assist in co-ordinating business travel for various staff members, adhering to Bank policy and insurance requirements. Preparing and distributing meeting schedules as required, booking flights and accommodation. • Provide administrative & secretarial support to various departments, prioritising accordingly. • Preparation of quarterly review letters for the Asset Management department & the subsequent delivery of these letters with accompanying reports within the required deadline. • Provide cover for reception and other Administrative Assistants as required. • Assist in organising dinners and events for various occasions e.g. Executive Committee offsite meetings and Board dinners. • Assist the Company Secretary in the preparation and circulation of Board documents. The successful candidate will have: • A high standard of general education including advanced level English grammar and spelling together with high level secretarial and administrative skills. • Advanced knowledge of Outlook.
