Job Description

Our client is a private bank seeking to recruit a Contract Office Services Administrator / Receptionist for an initial period of 3 months, starting asap. The role will cover both Reception duties and some office services duties. This is a full time role. Role summary: ? To provide a high quality typing service for the Administered Banks, and to clients and callers who communicate by telephone with the staff of the Bank?s Group in Guernsey and the Administered Banks for whom they provide services. Key responsibilities will include: ? To efficiently and politely receive incoming telephone calls redirecting them to the required person/department so that calls are dealt with quickly and in a manner that gives an excellent impression of the Bank. ? Maintain switchboard support services (including moves and changes, intranet telephone lists, voicemail messages) ensuring an up to date operation. ? Provide occasional cover in the Reception area for visitors to Regency Court to ensure that initial arrival procedures are carried out and they are introduced to the person they are visiting quickly and in a manner that gives an excellent impression of the Bank. ? To co-ordinate the receipt and collection of hand delivered mail and courier packages ensuring that they are properly recorded and passed on to the addressee as quickly as possible. ? To assist, when necessary, in the management of the Premises Support desk, including responding to calls raised by staff members and ensure that calls are dealt with and closed as soon as possible. The successful candidate will have: ? A minimum of 2 years? experience in an administrative role preferably dealing directly with the public. ? Typing to RSA II level together with intermediate level skills in Word for Windows and Excel. ? Basic business letter writing skills for the preparation and editing of client letters. ? A proven understanding of and ability to provide a high level of client service skills. ? A clear speaking voice and good communication/inter-personal skills.
